JOB SUMMARY

Coordinates daily activities of Facility Contract workforce and Facility staff assigning tasks as necessary.  Provides oversight of the supportive services functions including physical facilities footprint and site maintenance.  Monitors the facility to ensure that it remains safe, secure, and well-maintained.  Coordinates all movement of employee and physical assets at ERCOT locations. Prepares and maintains equipment maintenance records, statistical and metrics reports, and other documentation of facility related tasks.

  • Typically acts as an informal resource for colleagues with less experience.  May assign tasks and provide guidance to lower level colleagues.

ADDITIONAL JOB DUTIES

  • Monitors vendors/contractors and determines if they are meeting contract obligations
  • Coordinates the maintenance of the interior and exterior of all buildings and grounds
  • Purchases services and supplies as required
  • Tracks, maintains and refreshes inventory of facility department supplies necessary for all sites
  • Ensures accuracy of Facility metrics pertaining to space utilization
  • Maintains a database of vendors/contractors to ensure accurate recordkeeping of services
  • Assists with coordination of facility space planning, moves and other facilities activities
  • Assists with the maintenance of  personnel database relevant to space requirements and forecasting of future needs for facilities
  • Assist with coordination of facility space planning, moves and other facilities activities
  • Works with HR, Employee Access Coordinator, and Help Desk to determine work area assignments for on-boarding of personnel
  • Performs walk through inspections to identify emerging problems
  • Performs ergonomic assessments, then orders and ensures installation of appropriate equipment to meet customer needs
  • Responds to employee questions and problems relating to facilities
  • Supports facility and vendor management by engaging/coordinating with vendors and proactively identifying, reporting, and helping facilitate resolution for issues/repairs/space planning (in coordination with other team members, if applicable)
  • Monitors overall expenditures for facility safety, security, maintenance, and operations and reviews vendors/contractors billing for accuracy
  • Provides input to the preparation and planning unit's operating and capital budget, and forecasts needs of the unit
  • Participates in selection and subsequent management of work of facility contractors
  • Recommends and schedules required equipment purchases, remodeling, and special projects, as assigned
  • Assists in the development and deployment of Facility policies & procedures
  • Coordinates facility space planning, moves and other facilities activities
  • Maintains personnel database relevant to space requirements and forecasting of future needs for facilities
  • Evaluates vendors/contractors and ensures they are meeting contract obligations
  • Assesses overall expenditures for facility safety, security, maintenance, and operations and reviews vendors/contractors billing for accuracy
  • Assists the Manager of Facilities in preparing and planning unit's operating and capital budget, and forecasts needs of the unit
  • Recommends and schedules required equipment purchases, remodeling, and special projects, as assigned
  • Conducts an annual assessment of facilities to identify needed improvement and repairs
  • Provides guidance and recommendations for the selection and subsequent management of work of facility contractors
  • Reviews proposals prepared by the various service providers to ensure that facilities are kept up to date and maintained properly
  • Contributes to the development of recommendations for additions necessary to meet applicable reliability criteria and enhance operational flexibility
  • Provides recommendations regarding development and deployment of Facility policies & procedures
  • Oversees facility space planning, moves and other facilities activities
  • Advises internal client on case goods and modular furniture
  • Performs other duties as assigned

EXPERIENCE

  • Requires minimum 5 years related work experience in excess of degree requirements

EDUCATION

  • High School Diploma or GED (Required)
  • Associate's Degree (Preferred)
  • Bachelor's Degree (Preferred) or a combination of education and experience that provides equivalent knowledge to a major in such fields is required

CERTIFICATION

  • Facility Management Professional (FMP) (Preferred)
  • Leadership in Energy and Environmental Design (LEED) (Preferred)
  • Certified Facilities Manager (CFM) (Preferred)
