JOB PURPOSE                   

Manages the administration and strategic lifecycle for all elements of hardware and software licensing through asset and vendor management.   Establishes corporate standards and procedures to ensure compliance with contractual agreements, and adhere to legal guidelines for managing technology hardware and software assets.


Leads and implements the tactical and strategic management and planning of hardware and software within the organization through Asset and Vendor Management.  Monitors and records software and hardware entitlements and utilization, to establish an effective licensing position to ensure compliance with vendor contracts.  Develops and implements control points for the governance of IT assets throughout the asset lifecycle.  Provides support to ensure valid inventory information, renewal contract status, and financial impact to the IT maintenance budget and the proper allocation of those costs to IT services and Cost of Ownership.


Job Title:  IT Asset Manager, Sr.

Essential Job Duties and Tasks

  • Serves as a Subject Matter Expert for software licensing strategic planning and works on difficult IT asset management issues where analysis of the situation requires and in-depth evaluation of variable factors.
  • Owns hardware & software compliance process, acting as primary contact for asset audits and internal compliance monitoring.
  • Accountable for governance over ITAM control procedures.
  • Develops and manages processes and procedures using business process analysis abilities to create, implement, and optimize software requests and license management processes.
  • Develops strategies and proposals for technology spending across the organization.
  • Participates in the development and maintenance of the IT Service Catalog, IT Cost of Ownership, and service delivery cost models and bench marking activities.
  • Monitors and controls the IT hardware and software inventory.
  • Maintains and oversees software license usage and compliance.
  • Assists in all phases of the Hardware and Software Asset Data Management protocol (acquisition, change, maintenance, upgrade, decommission, disposal) to manage asset lifecycles.
  • Assists in the hardware & software asset audits and internal compliance monitoring.
  • Develops reports regarding hardware status and software license utilization and compliance. 
  • Ensures accuracy and timeliness of data and asset reporting to stakeholders.
  • Works with ERCOT compliance personnel to develop, maintain and list all of the critical cyber assets that are essential to ERCOT operations.
  • Develops a working knowledge of IT systems and how departments use them to support the Texas electric market.
  • Coordinates with the procurement function to interview, select and negotiate with hardware and software vendors to negotiate favorable terms, volume discounts and long-term contracts with suppliers, and prepares and processes requisitions and purchase orders for the procurement of technical equipment, custom engineered products, systems, software or components.
  • Reviews purchase order claims and contracts for conformance to company policy, and discusses defects and delivery problems with suppliers and negotiates refunds
  • Reviews licenses and/or contracts to ensure that hardware and software equipment is covered by the contract and properly documented.
  • Supports hardware & software asset audits and internal compliance monitoring.
  • Assist in the identification of key platform requirements to standardize and define the technology roadmap for IT technology purchasing across the organization.
  • Investigates available hardware and software products, evaluates and recommends products based on user requirements.
  • Initiates research to develop processes and procedures that produce efficiencies with asset monitoring and control.



  • Bachelor’s degree in Business, Computer Science, or related field, or an equivalent combination of education and experience is required.

Work Experience

  • Minimum of 5 years (in excess of degree requirements) of applicable experience is required.  Seven years of experience is preferred. 
  • Minimum of three years of experience in IT Asset Management Programs is preferred. 
  • Requires advanced knowledge of Excel and its use for financial and statistical functions and applications.  CITAM Certification and/or CSAM Certification, or similar certification preferred. 
  • ITIL Certification (Foundation or Intermediate Level) preferred.
